Special Events Planning

Food and Beverage
All food and beverage served in Briarcrest Country Club is to be provided by The Club (with the exception of wedding cakes or chocolate fountains). The Banquet Coordinator must approve any other outside food arrangements. The Club requires one menu for all guests. Dietary substitutes may be made 48 hours in advance. Any food and beverage functions canceled within 10 days of the event will forfeit the non-refundable reservation fee. All food and beverage sales as well as room and equipment rentals are subject to customary 20% service charge and 8.25% local sales tax.

Alcohol
No alcoholic beverages may be brought onto or leave the premises. Due to state law no one under 21 years of age will be served or sold alcoholic beverages. Parties with a high number of guests under the age of 21 and selling or serving alcohol will be asked to provide necessary security as required by Briarcrest Country Club. If the required security is not provided at the event as required the host agrees to reimburse Briarcrest Country Club for the cost of providing the security plus a $100 security booking fee.

Room Rental & Capacities
All rooms are subject to food and beverage minimums (see table below). If food and beverage minimums are not met there will be a room charge equal to the amount of the difference unless the minimum is waived. All minimums are calculated before tax and gratuity and include food and alcohol only. Functions are allotted 3 hours for events. Any events running longer than this are subject to additional fees of $300. per hour.

Non-Refundable Reservation Fees
To guarantee a room and date a signed contract and a $1,000.00 non-refundable reservation fee will be required.

Cancellation Fees
The host agrees to pay in addition to the non-refundable reservation fee a $1,000 if the host cancels the event with in 10 days of the scheduled event, as liquidated damages that the club will suffer for the loss of the event.

Guarantees
All arrangements must be finalized and with a set number of preliminary number of guests 10 business days prior to the event. A final guaranteed number of guests must be given at least 3 business days prior to the event. If the guaranteed number is exceeded on the day of the event, the host will be charged for the additional guests at one and one-half (1 ) times per guest. If the number of guests is less than the guaranteed number, billing will be based on the number guaranteed 3 days prior to the event.

Planned Menus & Pricing
All events over 15 persons in number are required to plan a menu selection with the Banquet Department. Events less than 15 that choose to order off of our Limited Grill menu are subject to an additional waiter fee of $35.00. Non member events with less than 25 guest are charged a $75 room rental fee. Enclosed menu prices are subject to change without notice until event is booked and the non-refundable reservation fee has been received.

Decorations
The Banquet Department can at your request assist you with your decorating needs. Briarcrest provides its house decorations at no charge, which includes a glass hurricane globe, a 12 round mirror and votive candles (4 per table). Additional decorating options are listed on our Elegant Options menu or we can make arrangements for other special decorating needs. The Club will not permit the affixing of anything to walls, floors or ceiling with nails, staples, tape or any other substance.

Security
Any damage done to the Club by guests or sub-contractors either during, prior or subsequent to any event will be the hosts liability and subject to legal action if necessary. The Club assumes no responsibility for the damage or loss of any merchandise, decorations, or articles left in the Club either prior, during or subsequent to any private function. Parties with a high number of guests under the age of 21 and selling or serving alcohol will be asked to provide necessary security. Refer to the above alcohol section as it relates to security.

Monday Events
All Monday events with donated food and beverage will be subject to a clubhouse opening fee. This fee is $10.00 per person for indoor clubhouse opening with a $750.00 minimum and a $6.00 per person for outdoor events with a $500 minimum. There will be $.25 per canned beverage charged for labor and icing down of beverages.

Billing
All charges for non-member functions must be paid 15 days prior to the scheduled event. You may pay by cash, check or credit card. All credit card transactions will be assessed an administrative fee of 3%. Make checks payable to Briarcrest Country Club.
